Online Activity Data

OSU facilitates students' academic and personal success through the gathering of relevant data. Individual offices and departments oversee initial data collection and storage, following applicable laws and policies. This information is not exhaustive but is meant to illustrate what is typical on campus. This section may be updated as needed without notification. If there is a term that you do not know, check our Data Dictionary.


Online Testing data is included under the Testing and Assessment category.

Student Inititated

  • Use of applications, websites, etc.

Staff Initiated

  • Assignment grading
  • Data entry from 3rd party systems

Third-Party Initiated

  • Auto-grading
Where We Share Data

Canvas

  • Data is available to the instructor assigned to the course (Teacher role), as well as teaching assistants. 6-week and final grades are uploaded by the instructor to Banner and become part of the student’s Academic Data.
  • Students may grant access to Canvas data to 3rd party vendors through Canvas. This access resets each semester.

Microsoft Files

  • OSU IT may access if needed for operational and security purposes
  • Microsoft may access to troubleshoot system issues
  • Files and e-mails subject to Open Records policy (1-0130)

Vendors

  • May provide reports to instructors and university staff (such as Canvas and TurnItIn)
  • May use data for operational and other purposes and retain data that may or may not be shared with OSU (such as Zoom, Microsoft, and other online services)
When We Retire Your Data
  • Follow state retention guidelines and federal regulations to retain data
  • Vendor retention practices vary, but may be limited by their contracts with OSU
