Academic Data

OSU facilitates students' academic and personal success through the gathering of relevant data. Individual offices and departments oversee initial data collection and storage, following applicable laws and policies. This information is not exhaustive but is meant to illustrate what is typical on campus. This section may be updated as needed without notification. If there is a term that you do not know, check our Data Dictionary.


  What Purpose Does the Data Serve
 

Student Success

  • Record student progress and degree completion
  • Provide information to academic advisors to facilitate clear course pathways and to ensure satisfactory academic progress
  • Connect students with academic resources tied to coursework, such as tutoring
  • Populate Canvas course enrollment
  • Foster communication with student’s support network through Proxy designees

Campus and Course Planning

  • Identify services needed
  • Plan future course schedules
  • Populate IRA Dashboards for college/department-level decision-making
  What Data Do We Collect
 
  • Application materials, including test scores and high school and college transcripts 
  • Class schedule information, including 6-week and final grades
  • Major, college, GPA, total hours completed, etc.
  • Degrees earned
  • Proxy Access (FERPA releases)
  How We Collect Data
 

Student Inititated

  • Submit admissions application, submit a transcript, register for a course, or submit proxy form

Staff Initiated

  • Submit major change form, DegreeWorks exceptions

Faculty Initiated

  • Submit grades
  Where We Share Data
 
  • Individual student data is shared with FERPA-trained university staff with a legitimate educational interest.
  • Anonymized, aggregate academic data is shared publicly on IRA Dashboards.
  • By student request, transcripts may be shared with potential employers or other institutions.
  • OSU privately and securely shares individual student data with select vendors in order to provide additional support for students through advanced analytics.
  • Certain data (defined as "directory information") may be shared without explicit consent.
  When We Retire Your Data
 
  • Records pertaining to official transcript retained indefinitely (program of study, degrees granted, grades, etc.)
  • Vendor retention guidelines vary, but may be limited by their contracts with OSU
